ISO 45001 Toolkit
The ISO 45001 Toolkit is a set of editable Word and Excel documents for setting up an occupational health and safety (OH&S) management system to ISO 45001:2018, including the climate change amendment added in 2024. It covers the documented information the standard requires, from the OH&S policy and risk assessments to the legal register, internal audit and management review, together with the everyday health and safety forms, registers and training talks that sit underneath them.
It is written for organisations implementing ISO 45001 for the first time, for those adding health and safety to an existing ISO 9001 or ISO 14001 management system, and for consultants setting up systems for clients. Office-based businesses and site-based contractors are both covered: alongside general risk assessment there are method statements, site safety inspections and a construction design and management (CDM) procedure.
It is built on the alphaZ integrated management system (IMS), so ISO 9001 is covered too, and a guidance sheet shows which ISO 9001-only parts can be set aside. The IMS1 manual follows how a business runs rather than the clause order of the standard, and each clause of ISO 45001 has its own page in the ISO 45001 knowledge base.
What's in the ISO 45001 Toolkit
The full document set is laid out in a ready-to-use folder structure, with one IMS1 manual covering each standard in the toolkit.
- IMS1 manual for ISO 45001 and ISO 9001, with a matching standalone procedure for each section if you prefer separate procedures
- Setup guidance: Getting Started guide, IMS1 Manual Guidance, and gap analysis, implementation, evidence folder and maintenance checklists
- Registers: document, interested parties, opportunities and risks, climate change, legal, business continuity, personal data (RoPA) and communications registers, plus Excel registers for issues and actions, training, key suppliers and contractors, equipment, customer feedback, legal compliance and the audit schedule
- Forms for management review, internal audits, problems and corrective action, change review, staff induction, training and appraisal, customer feedback and supplier appraisal, plus a starter set of HR forms
- Policies, including quality, health and safety, ethics and code of conduct, supplier, training and communications policies, with further optional policies
- Audit checklists: IMS1 section, management system and process audit checklists, and full clause checklists for each standard
- Example business risk assessments
- Training: awareness course and certificate template for each standard, internal audit training course, introductions to management systems and ISO audits, and training talks with general guidance
- Correlation and guidance documents for each standard, showing where every clause is met
- General staff handbook (optional)
The health and safety files
- Procedures: PP-7-100 Health and Safety Policy Procedure, and PP-1-15 Construction Design and Management for construction work
- Policies: P-3 Health and Safety Policy, with right to refuse work, stress, lone working and drug and alcohol policies
- Risk assessment: general and task risk assessments, a hazard prompt sheet, method statements and combined risk assessment and method statements, site, fire and manual handling assessments, COSHH assessments with a COSHH register, and the ER14 Hazard and Risk Assessment Register
- Accidents and incidents: accident, near miss and unsafe practice reports, with the ER18 Accident Statistics register
- Sites and contractors: site safety inspections, daily checks, site pre-start and site emergency details, contractor OH&S appraisal and site worker induction
- PPE and wellbeing: PPE issue register and employee issue sheet, stress audit, task review and the health and safety improvement plan
- Training: ISO 45001 awareness course and certificate, health and safety training talks covering PPE, equipment, risk assessment, accident reporting, manual handling, COSHH, working at height, fire, electrical safety, noise and more, a CDM guidance talk and the OHS1-1 Health and Safety Staff Handbook
- Checking the system: ISO 45001:2018 correlation and guidance, full clause and documentation audit checklists, health and safety management system audit checklists, and the IMS1 section 7 gap analysis and implementation checklists
ISO 9001 files are written to ISO 9001:2026. The 2015 versions of the key ISO 9001 files are also supplied for organisations still certified to the 2015 edition. Optional documents sit in Draft folders, ready to move across if needed. Every file is named in the toolkit files index.
If you need ISO 14001 as well, the ISO 9001/14001/45001 IMS Toolkit covers quality, environmental and health and safety management in one set.
How to use the toolkit
- Gap analysis. Start with the gap analysis checklists, sections 1 to 5 for the core system and section 7 for health and safety, to see what you already have in place and what is missing. The knowledge base page on gap analysis explains the approach.
- Branding. Add your company name and logo across the set, or have it done for you with document preparation, included in the alphaZ subscription.
- Tailoring. Work through the Getting Started guide and the IMS1 Manual Guidance, then the implementation checklists, editing the IMS1 manual and procedures so they describe how your business actually works. Setting up a management system covers the wider steps.
- Implementing. Complete the risk assessments, legal register and objectives, brief staff with the awareness course and training talks, set up worker consultation, and start keeping the records: training, inspections, accidents and near misses.
- Internal audit and management review. Audit the system using the ISO 45001 checklists, record the findings and actions in the issues and actions register, and hold a management review.
- Certification. Book a certification audit with the certification body of your choice. The ISO certification process page sets out the stages. Afterwards, the maintenance checklist keeps the system up to date.
What ISO 45001 asks you to document
ISO 45001 calls the documents and records it requires documented information. Some has to be maintained, meaning kept current, such as the OH&S policy and the legal register. Some has to be retained as evidence, such as training records, audit results and incident investigations. The table sets out each clause that carries a requirement, what is needed, and the toolkit files that cover it. Each clause links to its knowledge base page.
| Clause | What is needed | Toolkit files |
|---|---|---|
| 4.1, 4.2 and 4.3 Context and scope | A documented scope for the OH&S management system, set after considering internal and external issues, including whether climate change is relevant, and the needs of workers and other interested parties | IMS1-1-3 Context and Scope; F-IMS22 Interested Parties Register; F-IMS38 Climate Change Review |
| 5.2 OH&S policy | The OH&S policy, kept as documented information and available to interested parties | P-3 Health and Safety Policy |

ISO 45001 Toolkit FAQs
ISO 45001:2018, including Amendment 1:2024, which asks organisations to consider whether climate change is a relevant issue. The F-IMS38 Climate Change Review covers that step. If the standard is revised, the updated files are a free download.
ISO 45001 uses the same harmonised structure as ISO 9001 and ISO 14001, so context, leadership, document control, internal audit, management review and corrective action can be shared rather than duplicated. Health and safety has its own section in the IMS1 manual, section 7, which sits alongside the sections you already run.
Yes. Contractors are covered by the F-HS16 Contractor OH&S Appraisal, the F-Q9 Supplier and Contractor Appraisal, the F-Q81 Site Worker Induction form and the ER3 Key Supplier and Contractor Register. Visitors and members of the public are included in the health and safety policy and in the "who is affected" section of each risk assessment.
Yes. It includes the PP-1-15 Construction Design and Management procedure and a CDM guidance talk, method statements, site risk assessments, site pre-start, daily check and inspection forms, site emergency details and site worker induction.
SSIP assessments look at health and safety, but Constructionline and the Common Assessment Standard (CAS) also cover quality and environmental management. To meet all of their requirements, use the ISO 9001/14001/45001 IMS Toolkit, which includes the policies and documents asked for under the CAS.
The documents and registers are in Word and Excel, so all of them can be edited. The awareness course is a PowerPoint presentation and the standards guidance is supplied as PDF.
Certification comes from an audit by a certification body, and depends on the system being in use with records to show it. The toolkit supplies the documented information ISO 45001 requires and the forms to keep those records, and the support included helps you put it in place.
** unlimited email support is only provided for requests related to the use and implementation of the supplied toolkit, if you need general ISO and other support please arrange for remote support
