Integrated Management Systems - alphaZ where everything is integrated

Unlike other ISO toolkits this toolkit makes use of the integrated management system, with a single Integrated Management System manual (IMS1) and a supplied folder structure. The AI management system sits alongside quality, environmental, health and safety or information security rather than being run as a separate system, so there is one set of procedures, one document control method and one management review.

Instead of spending a lot of time reading and interpreting the ISO 42001 standard, or writing policies and building forms from scratch, download this toolkit and use it as the starting point for your AI management system. Every clause of the standard is addressed and all 38 Annex A controls are carried through the Statement of Applicability, the risk register and the audit checklists.

This toolkit is suitable for;

Using the ISO 42001 Toolkit

To achieve ISO certification it is necessary to have a management system in place that meets the requirements of the standard, and this toolkit supplies the documented information ISO 42001 asks for. Start with the implementation checklist, which works through the set-up in eleven sections, then use the getting started guide and the update guidance to place the files into your existing folder structure.

The centre of the toolkit is PP-1-42 Artificial Intelligence, the policy procedure the rest of the set is built around. It covers the AI policy, roles and responsibilities, the AI system life cycle, risk assessment and impact assessment, human oversight, supplier and model provider control, incident handling and communication. Around it sit the four F-AI forms that record the detail, the ER42 register that holds AI risks alongside the Annex A controls, and F-IMS70, the Statement of Applicability covering all 38 controls.

An ISO 42001 correlation document is included, which maps every clause of the standard to the file that satisfies it. The two audit checklists let you evidence the clauses and the Annex A controls before an external assessment, and the awareness course, training talk and certificate templates cover the competence and awareness requirements.

IMS Registers

Registers used to scope and run the AI management system. F-IMS70 carries all 38 Annex A controls with the justification for including or excluding each one. ER42 holds the AI risks, the treatment and the controls applied, and carries the same 38 controls on its own sheet. ER3 covers AI suppliers and model providers alongside other key suppliers.

General management system procedures that can be used where there is no existing management system in place. IMS1-1-3 is tailored to ISO 42001 and includes the AI role of the organisation. Where you already hold these procedures, review the supplied version and merge the AI content into your own.
Form Templates

The four F-AI forms record the detail the standard asks for. F-AI1 works through the nine life cycle stages from requirements and specification to closure, F-AI2 records what data an AI system uses and where it came from, F-AI3 is the AI system impact assessment required by clause 6.1.4, and F-AI4 records the AI focus committee, its members and its actions.

F-Q3-42001 is the 42001 variant of the management review form, with eighteen review items across five sections covering every clause 9.3.2 input. F-Q17A schedules the internal audit across thirteen AI audit areas.

PoliciesP-120 is the public facing AI policy statement required by clause 5.2, covering approved use, human oversight, transparency and the reporting of concerns. P-17 covers internal and external communication.

Audit ChecklistsThree internal audit checklists. The first walks every clause from 4.1 to 10.2, the second covers the mandatory documents and records the standard requires and the Annex A controls that must be documented, and the third covers all 38 Annex A controls. Each records the status and the evidence held, so the system can be checked before an external assessment.
