Health and Safety Policy Procedure Template
The Health and Safety Policy Procedure is a Word template that sets out the responsibilities and arrangements for occupational health and safety management. It covers worker duties and company obligations, training, first aid, consultation, monitoring, welfare, occupational and mental health, accident reporting and investigation, contractors, risk assessment, and topic arrangements from PPE and work equipment to noise, asbestos and fire safety.
It is written for an Integrated Management System following ISO 45001 and refers to the IMS1 manual sections behind it. It has the document control fields and Amendment Record, an appendix of external references, and a Business Use information classification in the footer.
What the Policy Covers
- Amendment record, summary, scope and applicability - the control note on amendments, the purpose of the procedure and its application to all workers, contractors and visitors
- Overview, legal duties and company obligations - how the health and safety system sits in the IMS, the legal duties of all workers, the right to leave serious danger and company obligations
- Training, first aid, consultation and monitoring - training records and talks, first aid provision and kit checks, the focus committee, and how performance is monitored and evaluated
- Welfare, occupational and mental health - welfare facilities, health surveillance and medical assessments, mental health and wellbeing support, fatigue management and monitoring of absence and incidents
- Worker responsibilities and accident reporting - working practices for all workers, and how accidents, incidents and near misses are reported, investigated to root cause and reviewed
- Visitors, contractors, lone working and new mothers - contractor appraisal and monitoring, visitor rules, lone working and violence arrangements, and risk assessment for new and expectant mothers
- PPE, equipment and risk assessment - PPE issue and use, provision and checks of work equipment, machine guarding, hazard identification and the hierarchy of controls
- Topic arrangements and emergencies - manual handling, signs, hazardous substances, work at height, slips and trips, electrical safety, lifting, noise, asbestos, DSE, offices, emergencies and fire safety
Built for an ISO 45001 Management System
- Workers can remove themselves from serious and imminent danger and are protected from reprisals for reporting concerns
- Accidents and near misses investigated to root cause with the workers involved, then risk assessments reviewed
- Mental health, work-related stress and fatigue managed through risk assessment like any other health and safety risk
- Contractors appraised before work, monitored through site inspections and reviewed when the work is complete
- Lifting equipment thoroughly examined before first use and at set intervals, with dates on the equipment register
Who Needs a Health and Safety Policy Procedure?
Businesses running, or working towards, an ISO 45001 occupational health and safety management system, and any organisation that wants its health and safety arrangements set out in one controlled procedure behind its health and safety policy.
Included in the ISO 45001 and ISO 27001 Toolkits
This policy is part of the ISO 45001 and ISO 27001 toolkits and the integrated toolkits that include them.
How the Policy Fits Together
Hazards are assessed using F-HS3 Risk Assessment Hazard Prompt Form and F-HS14 Task Risk Assessment Form, with completed assessments listed on ER14 Hazard Risk Assessment Register. Accidents are recorded on F-HS13 Accident Report Form and near misses on F-HS6 Near Miss Reporting Form, then logged on ER18 Accident Statistics Register for trend analysis. Premises checks are made on F-Q26 Premises Monthly Checklist, contractors are appraised on F-HS16 Contractor Health and Safety Appraisal Form, and hazardous substances are assessed on F-HS5 Hazardous Substances Assessment Form and listed on F-HS4 Hazardous Substances Register.
Using the Policy
Edit the arrangements to match your business, such as who acts as health and safety lead, the first aid and welfare provision, and the topic sections that apply to your work. Name the person in the Controlled By field, give it top level approval and brief all workers.

A day of remote support can take the risk assessments you already have, move them into one consistent format with the same scoring throughout, and build your hazard register from them, so the hazards this policy covers are backed by a current assessment.
