First Aid Policy Procedure Template
The First Aid Policy Procedure is a Word template that sets out the arrangements for adequate first aid provision for all employees. It defines first aid, then sets out the responsibilities of senior management, heads of departments, line managers and first aiders, and how first aid equipment and kits are recorded and checked.
It applies throughout the company and has Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields, an Amendment Record and a Business Use information classification in the footer.
What the Policy Covers
- Amendment record, summary, scope and applicability - the control note on amendments, the purpose of the policy, its scope across the company and who must follow it
- Definition and company responsibility - what first aid means, and the company duty under the law to provide adequate first aid arrangements for workers
- Senior management - assessing first aid needs, keeping enough trained first aiders, reviewing at management review and considering requests for more provision
- Heads of departments and line managers - time for first aider training, maintained and accessible equipment including defibrillators, equipment records, informing new employees and briefing teams
- First aiders - attending training, giving first aid in line with that training, keeping records, informing emergency services and keeping their kits stocked
- First aid equipment - equipment and kit locations shown on the site emergency plan, a contents list in each kit and regular checks and site inspections
Built Around First Aid Responsibilities
- A first aid needs assessment by senior management, reviewed at set intervals and at annual management review
- Maintenance and testing records kept for first aid equipment, in particular any defibrillators
- First aiders keep records of the first aid they give and pass information to the emergency services
- All first aid equipment and kit locations shown on the site emergency plan
- Each first aid kit carries a contents list, with regular checks that the contents are correct
Who Needs a First Aid Policy Procedure?
Any business that needs to set out how first aid is provided for its employees and who is responsible for it, from senior management through department heads and line managers to appointed first aiders.
Using the Policy
Edit the roles to match your own structure, for example where there are no separate department heads, and set the review intervals for the first aid needs assessment. Name the person in the Controlled By field, give it top level approval and brief all employees.
Reviewing First Aid Needs
Senior management keep enough trained first aiders by assessing the company's first aid needs and reviewing that assessment at set intervals, including at the annual management review. They consider any request from staff for more first aid provision, provide extra resources in higher risk areas and keep the policy itself under review.
First Aid Information for New Starters
Heads of departments give new employees the first aid information they need for their roles, and line managers make sure their teams know the first aid facilities and procedures in place within their departments.

A day of remote support can take the risk assessments you already have, move them into one consistent format with the same scoring throughout, and build your hazard register from them, so the hazards this policy covers are backed by a current assessment.
