Training and Competence Guidance

A general guidance document on training and competence for managers and workers. It explains how the competence each job needs is decided, what everyone should be aware of, how training is logged on the training matrix, and how workers are screened, inducted, reviewed and handed over when they leave.

Topics Covered

  • Competence and training - deciding the competence each job needs, and offering training fairly with enough time allowed to complete it
  • Management system awareness - what everyone working under the company's control should know about policies, procedures, objectives and expected ethical behaviour
  • The training matrix - logging training, competence levels, qualifications and licences held, so that renewal and refresher dates are managed
  • Job and task requirements - documenting the skills, experience and mandatory qualifications needed for particular jobs or tasks
  • Organisational knowledge - how the knowledge needed to run processes is kept and shared through procedures, training, documented information and digital systems
  • Screening and induction - job descriptions, pre-employment and background checks, the F-Q4 Staff Induction Record and supervised job training
  • Training review - reviewing core training at least annually, holding staff annual reviews on F-Q6 and checking training through internal audit
  • Staff leaving - reassigning management system roles and handing over knowledge with the F-Q20 Staff Leaving Checklist

Who Is It For?

Managers and supervisors who recruit, induct and train workers, and whoever keeps the training matrix. Workers can also read it to see how their own training and development is managed.

Included in the ISO 9001, ISO 14001, ISO 45001, ISO 27001 and ISO 22301 Toolkits

This guidance is supplied with the TT-1-03 Training and Competence training talk, which is part of the ISO 9001, ISO 14001, ISO 45001, ISO 27001 and ISO 22301 toolkits, including the integrated toolkits that combine them.

Using the Guidance

Use it alongside the training policy when recruiting and inducting new starters, and as a checklist for annual reviews and leavers. Record who has received it, for example on the training matrix.

One Matrix for Skills and Awareness

The training matrix gives an overview of the training completed, levels of competence and the qualifications or licences held, so that renewal and refresher dates are not missed. Awareness and understanding of the management system is logged on it as well, and it covers all relevant personnel, including labour-only sub-contractors.

Adapting the Guidance

Edit the guidance to match your own arrangements - the forms you use for induction, annual review and leavers, how you carry out background checks, which jobs have documented requirements and references to your own training and ethics policies.
