Company Vehicles Policy Template
A company vehicles policy template making sure company vehicles are used safely, legally and only for the purposes they are provided for. It applies to everyone who is allocated or drives a company vehicle.
The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.
What the Company Vehicles Policy Covers
- Authorised drivers - only drivers with a current and valid licence for the type of vehicle
- Licence checks - the licence produced and the driving record checked before first driving and at least once a year, with the company vehicle form signed
- Convictions - any driving conviction, endorsement or fine reported straight away
- Use - no personal use or unauthorised passengers without permission, and responsibility for fines and fixed penalties
- Alcohol, drugs and medication - no driving after alcohol or illegal drugs, and no driving on medication that could affect driving
- Careless or reckless use - dealt with under the disciplinary procedure, and smoking and vaping not permitted in vehicles
- Vehicle condition - kept clean and in good condition, with tyres, lights, oil and water checked regularly and no driving of an unroadworthy vehicle
- Defects and servicing - defects reported immediately, and servicing, maintenance and repairs carried out when due
- Security - no modifications without permission, documents carried, and the vehicle locked when left
- Mobile phones - no hand-held use, hands-free calls only when safe, navigation set before the journey, and stopping safely to use a phone
- Accidents, damage and theft - every accident or incident reported, theft reported to the police, and responsibility for damage where the contract allows
- Commercial vehicles - responsibility for loads, delivery signatures, and records of mileage, journeys and driving hours
Using the Policy
Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.
Who Needs a Company Vehicles Policy?
Any organisation that provides vehicles to its workers, from a single company car to a fleet of vans or commercial vehicles.
Works with the Company Vehicles Procedure
The PP-1-07 Company Vehicles Policy Procedure covers how company vehicles are managed, the F-HR2 Driving Company Vehicles Form is the company vehicle form each driver signs, and the TT-1-07 Company Vehicles toolbox talk briefs drivers on the rules.
Document Control
The footer carries the policy number and title, information classification, version and page numbers, and the approval fields record who approved the policy and when, so it can be controlled with the rest of your management system documents and listed on a document register such as the F-IMS20 Document Register.
