Most data protection slips are small ones, like the wrong email address or a spreadsheet shared too widely. A short talk is a good way to make sure everyone knows what to do.
This training talk is supplied in fully editable MS Word format, prepared using the F-Q7 Training Talk Attendance Record form template. All text is in Calibri font for improved readability.
The following document labelling is included in the footer:
- Talk number and title
- Information-classification
- Version
- Page number / total pages

Data Protection Training Talk
A training talk for all staff on data protection - what personal data is, how it must be handled, and what to do when someone asks for their data or something goes wrong. The download gives you a one-page attendance record with the talk description already filled in, plus the full guidance document to run the talk from.
Two Files in One Download
- TT-1-16 Data Protection - the attendance record, with the topic and talk description ready to use and a signature line for each attendee
- GG-1-16 Data Protection - the guidance document the talk is based on, to prepare from and to issue to staff afterwards
Talk Description
- What counts as personal data, including special category and criminal offence data
- How personal data must be handled and having a reason to use it
- Your responsibilities day to day
- Requests from individuals, and sharing personal data with suppliers
- Using AI tools with personal data
- Keeping and deleting personal data, and reporting a personal data breach
Running the Talk
Read through the guidance beforehand, talk the points through with the team, then have everyone sign the record. Keep the signed record as evidence that the briefing took place and who received it.
Why AI Tools Are Covered
Pasting notes or a call transcript that mentions people into an AI tool is a use of personal data, and what comes back is personal data too. The talk makes that clear, so staff treat AI output about people with the same care as the original.
Adapting the Talk
Both files are fully editable, so add your own examples, the name of the person responsible for data protection and how requests and breaches are reported. Update the talk description if you cover extra points.
Keeping the Training Record
File the signed record with your training records, or log the talk against each attendee in a training matrix, so you can show who has been briefed and when.
Who Is It For?
Every member of staff who handles information about people, whether customers, employees, suppliers or members of the public. It works at induction, as a refresher and whenever arrangements change.
Guidance Included in the GDPR / Data Protection Toolkit
The GG-1-16 guidance is part of the GDPR / Data Protection Toolkit - the registers, forms, policies, procedure and guidance for documenting how you collect and process personal data, in one download.
