Every fuel receipt is emissions data if you log it. Put the litres and the mileage against each vehicle and the register works out the miles per gallon, the CO2, NOx and particulates, vehicle by vehicle. The service, MOT and tax dates sit alongside, so the one file keeps the fleet in order.

Effective Excel Registers

Part of the alphaZ ER series of Excel registers, built for records that grow over time. Supplied in fully editable MS Excel format, with all text in Calibri font for improved readability.
The register is set up with:

  • Drop-downs for vehicle type, fuel type and ownership, and a registration drop-down on the fuel log
  • Conditional formatting that turns service, MOT and tax dates orange as they approach and flags them once overdue
  • Automatic analysis of mileage, fuel, MPG and emissions for any date range, with charts by vehicle and by vehicle type
alphaZ documents - tried and tested registers with no junk, jargon or unnecessary columns, developed over 25 years through practical use in the real world.
How to Download

Fuel and Emissions Register Template

A fuel and emissions register template in Microsoft Excel format for keeping a list of your vehicles, logging every fuel fill against each one, and turning that log into mileage, fuel economy and emissions figures - CO2, NOx and particulates - for any period you choose.

Fuel is often the largest direct source of emissions for any business that runs vans, trucks or company cars. ISO 14001 expects environmental performance to be monitored and measured, and customers, procurement teams and fleet schemes such as FORS increasingly ask for fuel use and emissions figures. This register turns the fuel receipts you already have into those figures.

What's Included in this Fuel and Emissions Register

The workbook is laid out as separate sheets, each doing one part of the job:

  • Vehicles - each vehicle with its registration, VRM or VIN, type, fuel type, ownership, model, service frequency and the dates the next service, MOT and tax are due. Dates turn orange as they approach and are flagged once overdue, vehicles no longer in use are shaded out, and a duplicated registration is highlighted in red.
  • Fuel Log - one line per fill: date, vehicle picked from a drop-down, current mileage, litres and comments.
  • Fuel and Emissions Analysis - set a start and end date and each vehicle's miles, fuel used and miles per gallon are worked out from the log. Enter the CO2, NOx and particulate figures per litre for each vehicle and the emissions totals are calculated for the period.
  • Overall Usage Graphs - totals and charts by vehicle type, covering mileage, fuel, MPG and each emission.
  • Vehicle Usage Graphs - the same totals and charts vehicle by vehicle.
  • Instructions - the lists behind the drop-downs, and how many days ahead a due date turns orange, all editable.

From Fuel Receipt to Emissions Figure

The only data entered day to day is the fuel log. Everything else is worked out from it. Because the analysis runs for whatever dates you set, the same register gives you a monthly check on fuel economy, an annual emissions figure for your environmental reporting, or a comparison between two periods to show whether a change of vehicle, route or driving practice has made a difference.

Who Needs a Fuel and Emissions Register?

Any organisation running vehicles that wants to monitor fuel use and emissions without investing in fleet management software - particularly those working to ISO 14001, reporting a carbon figure to customers, or working towards a fleet scheme such as FORS. It is equally useful as a straightforward fleet list for keeping track of service, MOT and tax dates.

Pairs with the Environmental Performance Register

The fuel totals from this register can be carried into the ER34 Environmental Performance Register, which brings fuel together with energy, water, waste and transport into one carbon figure, and from there into the F-IMS62 Carbon Management Plan.

Would you rather we prepared it for you?

Setting up this register can be included in a day of remote support on your environmental registers - your vehicles and fuel records set up and the emission factors entered, alongside your aspects and impacts register, the environmental performance measures you will track and your Carbon Management Plan.
