Integrated Management System (IMS) Guidance

A general guidance document on the integrated management system (IMS) for all workers. It explains what an IMS is and what it is for, the standards it commonly covers, how one is set up, what it means for each worker and how the IMS1 manual and IMS folder are organised.

Topics Covered

  • Purpose of an IMS - documenting the main areas and processes of the business, improving performance and showing compliance with standards and legal requirements
  • Common standards - ISO 9001, 14001, 27001 and 45001, and how others such as ISO 22301, 37001 and 42001 can join the same system
  • Setting up an IMS - preparing a management system manual that gives an overview of the processes, systems, documents and activities of the organisation
  • How it affects me - what each worker is expected to know and do, from following change management to logging issues and reporting incidents
  • The IMS1 manual - the document that sets out the main processes and procedures, responsibilities, legal requirements, definitions and filing system
  • The IMS folder - where IMS1 and the IMS registers are held, and giving all workers access, read-only where appropriate

Who Is It For?

All workers, as it explains in plain terms what the management system is and what part each of them plays in it.

Included in the ISO 9001, ISO 14001, ISO 45001, ISO 27001 and ISO 22301 Toolkits

This guidance is supplied with the TT-1-09 Integrated Management System (IMS) and TT-1-20 Integrated Management System (IMS) and ISO Compliance training talks. The TT-1-20 training talk is part of the ISO 9001, ISO 14001, ISO 45001, ISO 27001 and ISO 22301 toolkits, including the integrated toolkits that combine them.

Using the Guidance

Issue it at induction as an introduction to the management system, and keep it available as a reference alongside IMS1. Record who has received it, for example on the training matrix.

What the IMS Means for Each Worker

The section on how the IMS affects each worker turns the management system into everyday expectations. Workers are asked to know the processes, policies and documents that relate to their work, understand their role and authority, follow change management, log issues and nonconformities, report incidents and near misses, follow the expected ethical behaviour and share suggestions for improvement.

Adapting the Guidance

Edit the guidance to match your own arrangements - the standards your management system covers, the name of your manual, the registers held in your IMS folder and the policies that form part of your IMS.
