Pregnant Workers Policy Procedure Template
The Pregnant Workers Policy Procedure is a Word template that sets out how a business protects workers who are pregnant. It covers the maternity health assessment and reasonable adjustments made when a worker formally tells the company, the avoidance of manual handling and strenuous activity, the company's responsibility and the hazards a pregnant worker risk assessment considers.
It refers back to the company's Health and Safety Policy and has Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields, an Amendment Record and a Business Use information classification in the footer.
What the Policy Covers
- Amendment record, summary, scope and applicability - the control note on amendments, the purpose and scope of the policy and who must follow it
- Pregnant workers - the maternity health assessment and reasonable adjustments made once a worker formally tells the company, and no heavy lifting, pushing or pulling
- Manual handling - avoiding manual handling and strenuous activities for pregnant workers, such as standing for long periods and lifting or holding heavy objects
- Company responsibility - the company commitment to take care and precaution with pregnant workers and to keep the Health and Safety Policy followed and current
- Pregnant worker risk assessment - completing or reviewing a risk assessment whenever a pregnant worker is in the workplace, covering duties, slips and trips, substances, stress, environment and DSE
Built Around the Pregnant Worker Assessment
- A maternity health assessment once a worker formally tells the company they are pregnant
- Reasonable adjustments made to accommodate maternity at work where they are needed
- No heavy lifting, pushing or pulling, and no strenuous activity that could lead to harm
- A pregnant worker risk assessment completed, or an existing one reviewed, whenever a pregnant worker is in the workplace
Who Needs a Pregnant Workers Policy Procedure?
Any employer that wants a set procedure for when a worker tells it they are pregnant, and the managers who carry out the assessment and arrange adjustments to the work.
Using the Policy
Edit the procedure to match your work, such as the activities listed under manual handling and the hazards your risk assessment needs to consider. Name the person in the Controlled By field, give it top level approval and brief managers on what happens when a worker tells them they are pregnant.

The PP-7-05 Manual Handling Policy Procedure sets out wider manual handling arrangements and lifting assessments, and the PP-7-03 Completing a Risk Assessment Policy Procedure explains how risk assessments are completed and reviewed.
Avoiding Strenuous Activities
Manual handling is treated as generally unsuitable for pregnant workers. Heavy objects that need to be pulled, lifted or otherwise moved are not handled by a pregnant worker, and the same applies to strenuous activities such as standing for long periods or holding heavy objects, along with any other activity that could be deemed unsafe.
Reducing Risk to Everyday Levels
The company responsibility section notes that risks need only be reduced to the level met in everyday life, and makes the company responsible for keeping its Health and Safety Policy followed and amended as required.
