Policy Procedure Blank Template
The Policy Procedure Blank Template is a Word file laid out ready for a business to write its own policy procedure. It provides a document control table, an Amendment Record, a contents list, Summary / Purpose, Scope and Applicability headings with starter wording, and a Policy / Procedure section with numbered heading styles and a Guidance Box.
The Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields are left for completion, with the file location starting in a Procedures folder and a Business Use information classification already in the footer.
What the Template Covers
- Document control table - the Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields, with the file location set to a Procedures folder
- Amendment record and contents - a dated table for describing each change, a note that only the person named in Controlled By may amend it, and a contents list
- Summary, scope and applicability - starter wording for the purpose and scope, and standard applicability text on who it applies to, disciplinary action and guidance sections
- Policy and procedure section - numbered heading 2 styles ready for your own arrangements, with placeholder detail text under each heading
- Guidance box - a styled box for guidance text that readers are not required to follow strictly
Built for Writing Your Own Procedure
- Heading styles linked to the contents list, so new sections appear in it when the list is rebuilt
- Standard applicability wording on following the procedure and the status of guidance sections
- A note limiting amendments to the person named in the Controlled By field
- An information classification marking and issue number already in the footer
Who Needs a Policy Procedure Blank Template?
Businesses that want to write a policy procedure of their own in a consistent, document controlled layout. It is used by whoever writes and maintains the business's procedures.
Using the Template
Add your title and file location, replace the starter wording in the summary, scope and procedure sections with your own arrangements, and add numbered headings as needed. Name the person responsible in the Controlled By field, give it top level approval and brief the staff it applies to.
Related Documents
For finished examples written in the same layout, see the PP-1-10 Internal auditing and ISO compliance Policy Procedure, the PP-7-03 Completing a Risk Assessment Policy Procedure and the PP-8-12 Information Classification and Protection Policy Procedure.
Guidance Kept Separate from Rules
The applicability wording explains that sections marked Guidance are there to help and strict adherence is not required, while everything else must be followed. A styled Guidance Box lets you add advice and good practice to a procedure without blurring it with the instructions staff must follow.
Same Layout as Our Policy Procedures
The blank template follows the layout used across the policy procedures in this section, with the same document control table, Amendment Record, Summary / Purpose, Scope and Applicability headings and Business Use footer marking, so a procedure written in it sits consistently alongside the rest of your set.
Contents List Built from Headings
The contents list is generated from the heading styles, with Heading 1 for the main sections and a numbered Heading 2 style for the subsections under Policy / Procedure, so the list can be rebuilt in Word once your own headings are in place.
