Waste Transfer Note Template
A single-page waste transfer note for recording the transfer of waste from the person handing it over (the transferor) to the carrier or site receiving it (the transferee). One completed note per transfer gives you a clear, signed record of what waste moved, where it went and who took responsibility for it.
The duty of care in section 34 of the Environmental Protection Act 1990 and the Waste (England and Wales) Regulations 2011 requires anyone who produces, carries or receives controlled waste to keep a written transfer note. This form gives you a practical, repeatable way to meet that duty, and slots straight into an environmental management system aligned with ISO 14001.
Built for ISO 14001 and the Waste Duty of Care
The note captures the information a transfer note must legally hold, and supports the operational control and compliance obligation requirements of ISO 14001:
- A full description and quantity of the waste, with space for the relevant waste code(s)
- Registered waste carrier number and SIC code recorded for the party transporting the waste
- Waste management licence or permit reference captured for the site receiving the waste
- Signatures from both transferor and transferee to complete and evidence the transfer
What's Included in this Waste Transfer Note
The form is set out in clear sections so a transfer can be recorded in full and signed off in one place:
- Reference number - a unique reference to file and retrieve the note against your waste records
- Transferor and carrier details - name of the person transporting the waste, company name, address and contact number, date of transfer, registered waste carrier number and SIC code
- Waste description and quantity - a clear description and quantity of the waste transferred, with space for the applicable waste code(s)
- Transferee details - the full name and address of the transfer or collection point receiving the waste, and their waste management licence or permit
- Signatures - signed by both transferor and transferee to confirm the transfer and complete the duty of care record
Who Needs a Waste Transfer Note?
Any organisation that produces, holds, transports or receives controlled waste - offices, workshops, manufacturers, construction and trades, facilities and cleaning teams all handle waste that has to be transferred lawfully. It is a core record for any business working towards or maintaining ISO 14001 certification, and for anyone needing to demonstrate they have met their waste duty of care.
Included in the ISO 14001 Toolkit
This form is part of the ISO 14001 Toolkit - example assessments, registers, procedures and guidance for running an environmental management system in one download - and is included in every alphaZ ISO toolkit that covers environmental management.
Pairs with the Waste Matrix
Individual transfer notes are best supported by the F-ENV2 Waste Matrix - a single view of the waste streams your site produces, how each is stored, handled and disposed of, and which carrier and disposal route each one uses.
