Social Media Policy Template
A social media policy template setting out the rules for the use of networking and social media sites by all workers, both in a personal capacity and on behalf of the organisation.
The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.
What the Social Media Policy Covers
- Personal use - personal use of company IT facilities outside working hours and within reasonable limits, withdrawn if abused
- Impact on the organisation - reputation, confidential information, and claims of discrimination, harassment or bullying
- What not to post - detrimental or derogatory comments, anything that damages working relationships, confidential information, and anything that could give unauthorised access
- Personal views - made clear as personal and not the organisation's
- Whistleblowing and trade unions - nothing in the policy prevents raising concerns or lawful trade union activity
- Removing posts - including likes and shared posts that breach the policy
- Company accounts - written permission, work email addresses, log-in details recorded securely, authorised use only, and site terms followed
- Contacts - reporting new contacts and deleting contacts when instructed, including for data protection
- Compliance - reporting breaches by colleagues, disciplinary action, and the right to restrict access
Written to Be Shared
Like every alphaZ policy, this is written as a public policy statement that can be shared openly with workers, customers, suppliers and assessors. The internal detail of how it is carried out belongs in your procedures.
Using the Policy
Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.
Who Needs a Social Media Policy?
Any organisation whose workers use social media, and any that runs company social media or professional networking accounts.
Included in the ISO 27001 Toolkit
This policy is part of the ISO 27001 Toolkit and is also included in the ISO 9001, ISO 14001, ISO 45001 and ISO 22301 toolkits and every alphaZ ISO toolkit that combines them.
Works with the Social Media Risk Assessment
The RA-BR24 Use of Social Media risk assessment covers the risks of social media use by the organisation and its workers.
Document Control
The footer carries the policy number and title, information classification, version and page numbers, and the approval fields record who approved the policy and when, so it can be controlled with the rest of your management system documents and listed on a document register such as the F-IMS20 Document Register.
