Document control is an important aspect of the ISO standards. 

This register facilitates effective but simple document control to help keep track of company documents and storage location and retention period for company records. An overview of personal data records can also be detailed which can be used as a simple Record of Processing Activity (RoPA) for data protection / GDPR compliance. 

As well as a listing of key records there are also sections for listing key company controlled documents and logging of changes to company documents to ensure effective and ISO compliant document control.

This document register includes the following sections;

1. Overview of company records detailing where held, how long retained and also details of information security / protection for confidential /  personal data.
Listing of record retention relating to the Integrated Management System where can detail retention of records such as audit documentation.

2. Register of key company controlled documents including a summary of company Policies, Form Templates, Registers and other key files. Can either just point at locations where these documents are filed or list all files in full within the register.

3. File template update log - section for detailing updates to any key documents or files.

Additional versions also available;

V2 - Includes a more detailed breakdown of documentation so individual files in each category can be listed 

V3 - This version is the same as V1 but also includes a separate section for listing key externally controlled documents

ISO Consultant

When setting up the Document Register it is possible to avoid having to list every form and every policy by simply listing on the register where these are filed and if the policies / forms are all correctly numbered and stored in the same folder, i.e. with number in the filename, then can show this to an auditor as the document register.
Some companies may find it useful to have a comprehensive register listing every policy and every form but this can become difficult and time-consuming to maintain and a potential for non-conformances if not kept up to date.

ISO Auditor

Although there is no specific ISO requirement that states a document register is necessary there are various requirements relating to the distribution, storage, preservation of documented information as well as control of changes.
There is also a requirement to identify and control external documentation and a requirement to ensure any documentation required as evidence of conformity is protected from unintended alteration.
A document register can be used to evidence a lot of these requirements. Some old-fashioned auditors may expect to see a listing of all documents but this can be achieved using software and other solutions for managing documents and a detailed listing may just be duplication.
