Enquiry and Quote Register Template
An enquiry and quote register template in Microsoft Excel for logging every enquiry received and following it through to a quote and an outcome. A Google Sheets version is included.
It records who made the enquiry, what they asked for, who it is assigned to and what happened next, so no enquiry is left without a reply. The conversion from enquiry to quote to won work can also be used as a quality objective where that is relevant to the business.
What's Included in this Enquiry and Quote Register
The workbook is laid out as separate sheets, each doing one part of the job:
- Enquiry Register - the date, name, contact details, enquiry details, who it is assigned to, enquiry type, outcome, action taken, resources allocated and a priority score.
- Analysis - for any start and end date, the total enquiries logged and the split by type and by outcome, with pie and bar charts. A priority setting limits the analysis to enquiries at or above a chosen score.
- Instructions - how to use the register, and the lists behind the drop-downs: enquiry types, outcomes such as pending, quoted and won, quoted and lost, rejected or cancelled, and the colour for each outcome.
Following Each Enquiry Through
Pending enquiries stand out by colour, so it is easy to see what still needs a quote or a follow-up. Filtering on the outcome gives a list of all won, all lost or all pending work, and the priority score lets you leave out enquiries you were never looking to win when you report on conversion.
Setting Up the Register
Set your own enquiry types on the Instructions sheet, and change the outcomes and their colours if the defaults do not suit. The register comes with example enquiries, so you can see the colours and the analysis working before you delete them. Cells with a red triangle in the corner carry help text.
Built for Sales Follow-up
- One place for every enquiry, however it arrived
- A named person assigned to each enquiry
- The time and resources spent on each quote recorded alongside the outcome
- Enquiries by type and by outcome for any period
Keeping the Register Up to Date
Update the outcome as each enquiry moves on, from pending to quoted and then won or lost, and record the action taken each time. A regular look at the pending list shows which enquiries still need a reply or a follow-up call.
Who Needs an Enquiry and Quote Register?
Businesses that receive enquiries by phone, email or website and want one place to see what has come in, who is dealing with it and what came of it, without a customer relationship system. It suits small and medium sized businesses quoting for work.
Pairs with the Enquiry Record
Larger or more detailed enquiries can be written up on the F-Q96 Enquiry Record Form, with the procedure for handling them set out in PP-1-13 Enquiries Quotes and Sales Policy Procedure. Work that is won can be given a job number on the ER8 Job Register.
