Premises Audit Checklist Template

A process audit checklist for auditing the premises and the ongoing checks that keep them safe and compliant, set out in sections that follow a walk round the building. It is set out on the F-Q2 Audit Checklist format, with the scope, criteria, auditor and date recorded at the top, and each question alongside the auditee and the evidence viewed, response and findings.

Areas Covered

  • Emergency preparedness - the fire risk assessment and its review, weekly fire alarm tests, and fire wardens
  • Premises inspection - whether ongoing checks are carried out and documented
  • Emergency equipment - fire action signs, fire extinguishers with their signage and checks, first aid kits, and emergency lighting
  • Waste management - labelled bins, segregation and waste transfer notes
  • Hazardous substances - labelling, COSHH assessments and safety data sheets, storage and spill kits
  • Heating and cooling systems - inspection of gas boilers and air conditioning
  • Objectives and policies - whether they are available and known to workers
  • Health and safety - the premises risk assessment and its review, and who is responsible for health and safety and first aid
  • Computer workstations - display screen equipment assessments and suitable workstations
  • Signage and notices - the health and safety poster, signage and accident reporting
  • Premises checks - electrical equipment, fixed wiring, equipment needing inspection, and legionella management of water systems
  • Security - locks, keys and key cards, alarms and CCTV

Carrying Out the Audit

Walk the premises with the checklist in hand and look for the evidence on the spot: the fire alarm test log, the date on the extinguisher labels, the emergency lighting records and the boiler inspection certificate. Anything that cannot be found during the walk round is followed up with whoever looks after the building.

Planning the Audit

Have the fire risk assessment, the premises risk assessment, inspection and test certificates and the premises check records to hand, and plan a route that covers every area, including plant rooms and outside areas.

Part of the Process Audit Checklists

This is one of the alphaZ process audit checklists, each covering a single area of the management system, so audits can be spread across the year using the ER11 Audit Schedule. The completed checklist becomes the record of the audit, and the results can be written up using the F-Q31 Audit Report.

Using the Findings

Overdue tests, missing certificates or faulty equipment are raised as actions, with anything affecting fire safety or security dealt with straight away.
