Safe Use of Display Screen Equipment Policy Procedure Template
The Safe Use of Display Screen Equipment Policy Procedure is a Word template that sets out how a business reduces the risk of injury from display screen equipment (DSE). It defines which workers are covered, including home workers, requires an assessment at each workstation, and covers training, workstation layout, breaks and the additional controls in place.
It applies to all employees at all locations, with Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields, an Amendment Record and a Business Use information classification in the footer.
What the Policy Covers
- Amendment record, summary, scope and applicability - the control note on amendments, the purpose of the policy, the activities it covers and who must follow it
- Policy overview - the aim of reducing the risk of injury from DSE use by making sure workplaces and jobs are well designed
- Affected employees - who counts as a DSE user, with occasional users excluded and home workers included where DSE is a significant part of their work
- Analysis of workstations - an assessment at each workstation reviewing equipment, furniture, environment, the job and individual needs, plus training and information for users
- Meeting the requirement - self assessment by each employee, equipment such as adjustable chairs, screens and lighting, patterns of breaks and the layout of the desk
- Additional controls in place - recommended regular breaks, a docking station, monitor, keyboard and mouse for portable computer users, and training on reducing risk
Built for Safe DSE Workstations
- An assessment at each individual workstation for every worker who uses DSE as a significant part of their work
- Home workers brought into scope where display screen work is a significant part of their job
- Employees and safety representatives encouraged to take part, with identified risks reduced straight away
- Portable computer users given a docking station, monitor, keyboard and mouse for their main workstation
- Patterns of breaks covered in the assessment so changes of activity are considered
Who Needs a Safe Use of Display Screen Equipment Policy Procedure?
Any business whose staff use display screens as a significant part of their normal work, in the workplace or at home. It is used by the managers responsible for workstation assessments and DSE training.
How the Policy Fits Together
Each user records their workstation self assessment on F-HS18 DSE Self Assessment Form, and any risks it identifies are acted on by the company.
Using the Policy
Edit the policy to match how your business works, such as whether assessments use a checklist or an online application and what equipment portable computer users are given. Name the person in the Controlled By field, give it top level approval and brief all DSE users.

Training and Information for Users
The policy commits the company to training every employee to use their DSE and workstation safely and to make best use of it to avoid health problems, for example by adjusting their chair, with general background information on DSE health and safety also provided.
Would you rather we prepared it for you?
A day of remote support can take the risk assessments you already have, move them into one consistent format with the same scoring throughout, and build your hazard register from them, so the hazards this policy covers are backed by a current assessment.
