Fire Safety Policy Procedure Template
The Fire Safety Policy Procedure is a Word template that sets out the fire safety arrangements in a workplace. It covers how fires start, raising the alarm and calling the fire service, firefighting equipment and extinguisher signage, evacuation and assembly, returning to the building only when it is safe, and the inspections, alarm checks and evacuation drills that are logged.
The document control block carries Title, File Location, Issue No, Issue Date, Controlled By and Approved By fields and an Amendment Record. The footer carries a Business Use information classification, and sections marked Guidance are advisory, while the rest must be followed.
What the Policy Covers
- Amendment record, summary, scope and applicability - the purpose of the policy, its scope across all company activities and locations, who it applies to and how guidance sections are marked
- Overview of how fires start - how fires start accidentally, by act or omission or deliberately, and the fuel, oxygen and ignition source a fire needs
- Procedure when discovering a fire - raising the alarm at once, an alarm that can be heard in all areas, and a dedicated person or team who calls the fire service
- Firefighting equipment - extinguishers placed according to the fire risk assessment, signage at each extinguisher, regular checks, annual servicing and staff training where relevant
- Evacuation procedure - the posted emergency procedure, weekly alarm checks, evacuations every six months, shutting down hazardous processes, avoiding lifts and closing doors on the way out
- Returning to work and inspections - no return until the emergency services say it is safe, and the inspection forms and fire log book used to record checks
Built for Fire Alarms and Evacuation
- A dedicated person or team assigned to call the fire service once the alarm is raised
- Fire alarm checked weekly and recorded in the fire log book
- Emergency evacuation carried out and logged every six months
- Fire extinguishers checked during workplace inspections and serviced at least annually by an approved third party
- Lifts never used in a fire, and the last person out closing doors behind them
Who Needs a Fire Safety Policy Procedure?
Any business with premises where people work and need to know what to do if a fire breaks out. It is written for whoever manages fire safety, alarms and evacuation drills, and for every employee.
How the Policy Fits Together
The emergency procedure is summarised on the F-HS11 Site Safety Emergency Details Form posted to the notice board. Ongoing inspections use the F-Q26 Premises Monthly Checklist for the monthly walk round, the F-HS8 Site Safety Inspection as required and the F-ENV5 Fire Safety Inspection Form, alongside an annual fire safety risk assessment and the fire log book.
Using the Policy
Edit the alarm, extinguisher and evacuation arrangements to match your premises, including who calls the fire service, where the assembly point is and how often drills are held. Name the person in the Controlled By field, give it top level approval and brief all staff on the emergency procedure.
