Environmental Management Policy Procedure Template

The PP-6-100 Environmental Management Policy Procedure is the consolidated operating document for an ISO 14001 environmental management system. It sets out the company's responsibilities and arrangements for environmental management in a single procedure, covering everything from monitoring environmental impacts and legal compliance through to emergency response, COSHH and waste management.

This is the procedure that turns the top-level environmental policy into day-to-day practice. It is the document an external auditor can be walked through to evidence operational control under clause 8.1, emergency preparedness under clause 8.2 and the arrangements that support the wider environmental management system.

What the Procedure Covers

PP-6-100 is structured as a single procedure with topic sections, so staff and auditors can find the relevant arrangements without navigating multiple documents:

  • Sustainability and Environmental Commitment - the company's environmental objectives and sustainability commitments
  • Environmental Legal Compliance and Updates - how the company keeps up to date with environmental legislation
  • Monitoring of Environmental Impacts - the operations identified as having significant environmental impact, considered across normal, abnormal and emergency conditions
  • Energy Use, Emissions and Environmental Impact - practical energy and emissions controls applied across the business
  • Resource Use and Biodiversity - water, materials, packaging and biodiversity considerations
  • Noise, Nuisance and Complaints - managing local impact and handling community complaints
  • Environmental Awareness and Training - the awareness, induction and ongoing training arrangements
  • Environmental Incident Prevention and Management - prevention, reporting and investigation of environmental incidents
  • Emergency Preparedness - identifying potential emergencies and matching the planned response to magnitude and likelihood
  • Emergency Response Procedures - the response framework for spillages, fires, releases and similar events
  • Spill Response - the practical steps to take in the event of an oil or chemical spillage
  • Control of Substances Hazardous to Health (COSHH) - identification, assessment, storage and use of hazardous substances
  • Waste Management Procedure - duty of care, waste storage, hazardous waste and recycling arrangements

Aligned with ISO 14001:2015 and ISO 14001:2026

PP-6-100 has been refreshed for the current edition of the standard and remains aligned with both ISO 14001:2015 and ISO 14001:2026. The underlying operational controls have not changed significantly between the two editions, so the procedure is suitable for organisations certified to either version - whether you are on the 2015 standard, working through the transition or already operating against 2026.

The refresh picks up the clarifications and emphasis introduced in ISO 14001:2026:

  • Environmental aspects are considered explicitly across normal operating conditions, abnormal conditions (such as start-up, shut-down or maintenance) and reasonably foreseeable emergency situations, in line with the clarified wording at clause 6.1.2
  • Resource use, climate change and biodiversity are addressed alongside conventional environmental aspects, supporting the broader scope introduced at clause 4.1
  • The emergency preparedness and response arrangements are matched to the magnitude of identified situations, supporting clause 8.2
  • Environmental awareness training requirements support clauses 7.2 and 7.3

Consolidated or Individual Procedures

PP-6-100 is the consolidated environmental procedure. It combines the topics covered in the individual operational procedures (PP-6-01 through PP-6-06) into a single, more concise document. Many small and medium organisations prefer the consolidated approach because it is easier to maintain, easier to communicate and easier to audit against.

If you prefer to operate separate procedures for waste, oils and chemicals, emergency response, spills and energy, the individual files in the PP-6-01 to PP-6-06 series are also available and ship in every ISO 14001 toolkit alongside the consolidated version.

Who Needs an Environmental Management Procedure?

Every organisation operating an ISO 14001 environmental management system needs a documented procedure setting out how the policy commitments are turned into practice. PP-6-100 is suitable for SMEs running an environmental management system in isolation or as part of an integrated management system covering quality, health and safety, information security or business continuity.

Included in Every ISO 14001 Toolkit

This procedure is included in every alphaZ ISO 14001 toolkit and integrated toolkit covering environmental management. If you are building or rebuilding a management system, the toolkit route is the most efficient way to get the full set of documents you need.

Works with the Environmental Policy

PP-6-100 sits alongside the P-2 Environmental Policy. The policy is the top-level statement of commitment approved by top management; the policy-procedure is the operating document that turns those commitments into the day-to-day arrangements staff and contractors are expected to follow.
