Management of Equipment and Premises Guidance
A general guidance document on equipment and premises for everyone who uses company equipment or works on its premises. It explains what counts as work equipment, the rules for using it, the equipment register, maintenance and calibration, quarantining faulty items, buying new equipment and keeping premises safe.
Topics Covered
- What counts as work equipment - machinery, appliances, tools and installations, including equipment employees provide themselves, and every use from starting and setting to cleaning
- Risk assessments and method statements - assessing the risks of using equipment, and making method statements and user manuals available to users
- Using equipment - using only equipment you are trained and authorised for, pre-use checks, intended use and reporting faults straight away
- The equipment register - listing equipment that needs scheduled checks, who is responsible and when checks are due, with vehicles and premises covered too
- Maintenance and calibration - arranging servicing before the due date, staggering checks on critical equipment and keeping records correctly
- Defects and quarantine - taking faulty equipment out of use with a quarantine area or label, recording the defect, then repair or disposal
- New equipment - suitability, spare parts and servicing, conformity marking, a declaration of conformity and instructions users understand
- Management of premises - regular walk-around checks and a schedule of routine inspections covering emergency systems, structural damage and the fixed electrical installation
Who Is It For?
Everyone who uses company equipment or works on its premises, and the people responsible for the equipment register, maintenance and premises checks.
Supplied with the Training Talk
This guidance is supplied with the TT-1-06 Management of Equipment and Premises training talk. Buy the training talk to download the talk and this guidance together, or download both with an alphaZ Subscription.
Using the Guidance
Issue it at induction to anyone who uses equipment, and keep it as a reference for whoever runs the equipment register and premises checks. Record who has received it, for example on the training matrix.
Inspections Required by Law
Some equipment has inspection, examination or maintenance requirements set in law, identified on the legal register. The guidance gives typical examples, including lifting equipment and accessories, fixed electrical installations and portable electrical equipment, pressure systems, boilers and gas appliances, and fire alarm and emergency lighting systems. Third parties carrying out these checks must be competent and hold the relevant qualifications.
Adapting the Guidance
Edit the guidance to match your own arrangements - how your equipment is numbered or tagged, where your quarantine area is, which items need inspections set in law, who carries out third-party checks and your schedule of premises inspections.
