Pregnant Workers Policy Template

A pregnant workers policy template setting out the framework for the health and safety of workers who are pregnant, have recently given birth or are breastfeeding, and the moral and legal duty to protect them from hazardous work processes or conditions.

The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.

What the Pregnant Workers Policy Covers

  • Identifying risks - chemical, biological and physical agents that could affect babies during pregnancy or through breast milk
  • Common workplace risks - including heavy loads, standing or sitting for long periods, infectious diseases, toxic chemicals, workstations and posture, violence, long hours and noise
  • Notification - workers encouraged to notify in writing as soon as possible, including new starters
  • Risk assessment - risks assessed once notified, with recommended changes implemented
  • Adjusting work - duties, hours or conditions adjusted where a risk cannot be removed
  • Alternative work - suitable alternative work on the same terms where adjustment is not enough
  • Suspension on full pay - where suitable alternative work cannot be provided
  • Ongoing discussion - regular discussions, and the risk assessment revisited after significant changes
  • Rest facilities - somewhere to lie down where necessary and a private space to express and store breast milk

Written to Be Shared

Like every alphaZ policy, this is written as a public policy statement that can be shared openly with workers, customers, suppliers and assessors. The internal detail of how it is carried out belongs in your procedures.

Using the Policy

Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.

Who Needs a Pregnant Workers Policy?

Any employer, as any worker may become pregnant or return to work while breastfeeding.

Works with the Pregnant Workers Procedure

The PP-7-22 Pregnant Workers Policy Procedure sets out the procedure, and the RA-HS08 Pregnant Workers risk assessment gives a starting point for the assessment the policy asks for.

Document Control

The footer carries the policy number and title, information classification, version and page numbers, and the approval fields record who approved the policy and when, so it can be controlled with the rest of your management system documents and listed on a document register such as the F-IMS20 Document Register.
