Hospitality and Gifts Policy Template
A hospitality and gifts policy template recognising that gifts and hospitality can be seen negatively, including as possible bribery or corruption, and setting out what workers may accept and give and what must be recorded.
The policy has Approved By and Date Approved fields and carries a Public information classification, so it can be shared with workers, clients and other interested parties.
What the Hospitality and Gifts Policy Covers
- Purpose - avoiding suspicions of bribery or corruption from gifts and hospitality
- What hospitality means - gifts, meals, entertainment, accommodation and other arrangements provided free of charge
- Receiving - no cash or cash equivalents, and nothing intended or likely to influence a business decision, with such offers reported
- Giving - reasonable, proportionate and in good faith, never to influence a decision or gain an improper advantage
- Public officials - extra controls on hospitality or gifts for public officials
- Acceptable without recording - low value work-related gifts, modest meals and refreshments, and discounts of 25% or less offered to all staff or the public
- Recording - anything else notified to the line manager and recorded on the gifts register with the date, description, value and who made the offer
- Review - periodic review as the business, markets and interested parties change
Written to Be Shared
Like every alphaZ policy, this is written as a public policy statement that can be shared openly with workers, customers, suppliers and assessors. The internal detail of how it is carried out belongs in your procedures.
Using the Policy
Add your company name and logo, check each commitment matches what your organisation does and edit any that do not, then approve and date the policy and share it with workers and anyone else who needs to see it.
Who Needs a Hospitality and Gifts Policy?
Organisations working to ISO 37001, and any organisation that wants clear rules on gifts and hospitality as part of its anti-bribery controls.
Included in the ISO 37001 Toolkit
This policy is part of the ISO 37001 Toolkit and every alphaZ ISO toolkit that covers ISO 37001.
Works with the Gifts Register
Gifts and hospitality can be recorded on the ER22 Hospitality and Gifts Register or the F-Q75 Hospitality and Gifts Register, and the PP-1-19 Anti-bribery procedure sets out the wider anti-bribery arrangements.
Document Control
The footer carries the policy number and title, information classification, version and page numbers, and the approval fields record who approved the policy and when, so it can be controlled with the rest of your management system documents and listed on a document register such as the F-IMS20 Document Register.
