Employment Letter and Contract Template

This download gives you a job offer letter and an employment contract template. The letter sets out the offer, including the position, pay, type of post, start date, probation and the checks the offer depends on, and the contract sets out the terms of employment for signature by the company and the employee.

In a management system the contract's confidentiality and non-disclosure clause supports the ISO 27001 controls on terms and conditions of employment and confidentiality agreements (Annex A 6.2 and 6.6), and the signed copies form part of the personnel records kept as documented information (clause 7.5).

Two Documents in One Download

Use the letter to make the offer and the contract once it is accepted.

  • F-HR15A - Employment Letter: a job offer letter with bracketed prompts for the company and recipient details, position, pay, type of post, start date, probation, the checks the offer is subject to, an overview of the role, working hours and location, and the date to reply by.
  • F-HR15B - Employment Contract: a contract of employment covering duties, place of work, start date and probation, working hours, pay, holidays, sickness, notice, confidentiality, disciplinary and grievance arrangements and company policies, with signature blocks for both parties.

Built for Clear Terms from the Start

The letter and contract put the offer and the terms of employment in writing.

  • Records the job offer and the checks it depends on, such as right to work, qualifications, references and a health questionnaire.
  • Sets out pay, hours, holidays, notice and probation so both sides know where they stand.
  • Includes a confidentiality clause, with the signed contract standing as a non-disclosure agreement.
  • Points the employee to the grievance route, the disciplinary rules and the company policies they must follow.
  • Gives a signed and dated record of acceptance from both the company and the employee.

Who Needs an Employment Letter and Contract?

Any small or growing business taking on staff. The person handling recruitment sends the offer letter once a candidate is chosen, then issues the contract for both sides to sign once the offer is accepted.
